Many associations have installed membership based websites capable of providing online registration capabilities for seminars or meetings where there is no accommodation requirement and that all attendees will be from the membership.
“Our experience is that for conferences a registration system needs to be able to not only register all delegates to the conference but also provide accommodation options to enable a single registration supported by a single invoice. This allows delegates to be fully paid on arrival”, says Libby Madden Schrafft of VMS. “Furthermore the online registration system needs to be able to cope with various payment methods and allow for secure re-entry for delegates to choose workshop options which may have not been available when registrations were first received. As conference organisors, the information collected during the registration process is invaluable and flows into all our conference planning and forms the basis of the conference deliver; catering, accommodation, breakout allocation, onsite registration process, name badges, delegate materials and exhibitor management.”
“However, the most important component of an online registration system is to have it fully supported by a staffed helpline service which can provide delegates with conference information to walking them through the registration process itself. Irrespective of whether VMS is required on site or not, if the registration process provided through RegoDirect is used then there is a much better chance for a successful outcome to your conference.”
VMS guarantees a full collection of monies from delegates, checks hotel accounts and can remit funds to authorized suppliers if and when required. RegoDirect enables us to do that.
